GUIDANCE :: Getting Started

Overview

Most events at or associated with Colorado School of Mines must be endorsed by a college at the university and must be planned and conducted under the approval and authority of the dean of the associated college. Ultimately, the event organizer will be required to submit a plan for the event to the appropriate dean; therefore, the first step in the planning process is to develop some basic information about the event — with as much detail, specificity, and accuracy as possible. You will also find that going through the process of developing this information will greatly help clarify in your mind the objectives of the event and the methods and resources you will need to apply in order to achieve those objectives.

Preliminary Information

The list below identifies some questions for which you should develop answers as you begin planning your event. In this step, as for all steps in the planning process, please feel free to contact CPES for advice and information that may help you.

  • What is the purpose/objective/scope of the event?
  • What is the content/material/knowledge/information that will be presented/discussed/collected during the event?
  • Is the event to be conducted only once or does it repeat? What is the repeat frequency?
  • What is the duration of the event (or of a single instance of the event if it repeats)?
  • What outcome(s) from the event do you want/need/expect?
  • What are the characteristics (field, education level, interests, etc.) of the people you want to attend the event?
  • How will the potential attendees find out about the event; how will the event be marketed/advertised?
  • How many people do you think will attend the event? (This might be a progression: first year, second year, etc.)
  • What value (monetary, prestige, publicity, etc.) accrues to Mines as a result of endorsing the event?
  • Will Mines faculty be involved in the event? Who/how many/for how long?

CPES Involvement

CPES will always be available to you for assistance in planning and conducting your event. For some types of events, CPES involvment is completely optional; for other types, CPES involvement is mandatory. Specific characteristics of your event will determine the nature of CPES support, and will determine other factors such as the way in which revenue resulting from your event is handled, the types and amounts of fees levied by Mines on your event, and several other issues. We'll discuss all of the pertinent characteristics and their effect on CPES involvement — and on other aspects of your event — as we progress through this guidance.
